- Arvand said members can book events, and pay later, by a certain date. The following clarifications are needed: Q: Do they get notification about payment? Do executives get notification about non-payment of certain people who booked events, or do they explicitly have to ask to see a list of non-paid members? Arvand: Yes. Yes. NO (but its a good idea to have that as well) ---------------------------------- Q: Should members get payment reminders? Arvand: YES. ---------------------------------- Q: Are non-member accounts allowed? Arvand mentioned he wanted non-paid members to be considered non-members. What rights do non-members have? Arvand: No non members account allowed. First thy make the system complicated Also, there is no way to control the reservation of the veents for non members. ---------------------------------- Q: Are non-members allowed to add their e-mail to the mailing list? Arvand: Yes. ---------------------------------- - Arvand did not want non-members to get booking ability, worrying about the potential of vandalism (i.e. people maliciously booking a number of spots) Q: He didn't mention how many bookings a member can make, and how many bookings an executive can make (if there is a difference). Arvand: One booking per member (or may be its a good idea to lt the admin specify the number) In any case an executve should be able as many as bookings as he wants ---------------------------------- Q: How is cancellation handled? Can users cancel after they paid? Can Executives remove members who paid event fee? Arvand: Members can not cancel an event that they have paid for. Execs can take people out of the list. ---------------------------------- Q:Should we display the total amount due when a member sign up/reserve for an event? Arvand: Yes ---------------------------------- Q: Any deadlines for cancellations? Arvand: No cancelation if the event is paid, unless an exec does it ---------------------------------- - Arvand wanted executive accounts to have access to "multiple tasks/options", with one example being event handling. Q: What other tasks/options are open to executives? Q: Do all executives get access to the same set of tasks? Arvand: Yes, We cant really differntiate them. However there must be an admin who oversights all the execs. --------------------------------- - Arvand wanted executives to have the power to create events. Q: What is an 'event', that is what kind of information needs to be recorded about an event. Can events be removed? By whom? Any executive? Arvand: Event can be anything that the organiztion plans to hold. All events have Time, date, place, poster, name, Guest speaker or performer, Enternace fee... An EC should be able to delete an event -------------------------------- The following is a summation of what we came up with Q: Do we want accounts for non-member users? If not what should happen to accounts of users who sign up for membership but never end up paying? Arvand: No. We dont want account for them. They get deleted somehow but its good to keep their e-mail address -------------------------------- Q: What kind of rights do members have? They can book events, what else? Arvand: Perhaps send e-mails to ECs, Vote when there is an election. Access memebrs only areas such as albums, forums or anything that we decide to add into the system later on ------------------------------- Q: What kind of rights do members who have not paid have? If non-member accounts are allowed: Arvand: NO, non memebers account Q: Do executive accounts expire? Who creates/removes executive accounts? No. Admin edits their permission to promote or demote an exec Suggested User Roles: -------------- Non-Members: - Add email to mailing list for events Members -Sign-up for membership -reserve spots for events -Add email to 'mailing list' -Add/Modify details to account info (e.g. name, contact info) Arvand: Also sends e-mail and uses the members only areas Executive -All the same rights as member accounts -Create a new executive account. Arvand: NO -Upgrade a member account to executive status -Remove Members -Remove/Downgrade executives Arvand: NO. Not this one -Change payment status of members for membership fee and events. -Change payment status of executives for membership fee and events (is this valid?). Arvand: yes! -Create and remove events -Add / Remove users from events. -Send emails to all users. Admin -All the same rights as executive accounts. -Any other rights? Arvand: And ability to promote members to exec -------------------------- Following are questions Hamdan and I came up while gathering requirements for the system 1. Just double checking are we supposed to handle only the top two requirement areas. Which are Membership registeration and the Event management (selling of tickets). Arvand: Well, I dont know! --------------------------- 2. In event management there were two things listed among the top priorities. In the priority list given by Arvand, the second priority was given to the selling of tickets and third was given to the booking of tickets. For example, the booking of tickets for the ski trip (including hotel booking and bus booking). Now since you told us to work with the first two requirements are we supposed to handle both 2nd and 3rd as being under event management or just the 2nd priority alone which is keeping track of how tickets have been sold and to whom. Arvand: hotel and bus is not going to be booked by members. All the events have the same booking. Memebers sign uo for it and they pay. Thats it ---------------------------- 3. Neither of the top two requirements stated the ability to actually insert events into the system and jumped into selling tickets and booking for an event. Are we supposed to handle the requirements for instantiating an event. So that the EC creates an event first and then users can booking/buy tickets etc. Arvand: YES ---------------------------- 4. Should we assume that it is the case for all clubs that every member shall get only one discounted ticket. Arvand: Yea, thats the most economic way for the club to make mroe money ---------------------------- 5. Is it safe to assume that elections are not part of events. Arvand: Yes. ---------------------------- 6. Arvand mentioned in one of the answers to a question that all EC member should have "same permission". Could you be more clear on what "same permission" refers to. Furthermore he mentioned that "the system must be designed in a a way that we can change permissions." So what permission levels do we have to handle. What sort of permission should be assigned to member and what sort of permissioning is given to members who are volunteers in an event. Arvand: Refere to previuos QA. I think i answered it very clearly Hi Arvand Me and Chintu had a few questions for you Q: What is the step by step process for membership in the group. Here is what we understand…please let me know if anything is incorrect. Fill out the membership form Required information: i. First Name ii. Last Name iii. Email address iv. address Arvand: Sounds good What is the importance of these: i. Program of Study/Year ii. Faculty Arvand: Our own statistical purpose Pay the fee. Send out membership card / They pick it up. (Can this option be added to the membership form?) Arvand: Yes. ------- Based on your response to the following question: Q: 9. Given that there are 10 ECs and each EC may have a unique role, what's the current process for a EC to share her work with other ECs/(non)members Arvnad: No process. We all share the work and help each other as much we can. Most ofthe time President or VP assigns different tasks to the people. Can you please specify the shared duties? Arvand: As i said. It can be anything. You cant really differentiate them on the software you are going to make. Refere to the players role written earlier in this document --------------------------- Q: Do you guys follow the constitution to the 't' which is found here: http://www.isuoft.com/const.html Arvand: Yes. Some stuff has changed to but not that fundemental --------------------------- Q: Based on your response to the following question: Q: 1. Does every student organization that will be using the system we develop require a membership fee? Arvand: YES. This a mandatory rule by SAC. Can you refer us to the sac document containing this and other rules? Arvand: LOL. You dont believe me? Trust me, its the SAC rule ----------------------------- Thank you for your time Adwoa and Chaitanya Arvand: NP
